As a Super Admin, you can set custom colours for links and buttons in emails sent to candidates and referees. This allows you to match your organisation's branding.
How to Set Custom Email Colours
- Navigate to Settings → My Organisation
- Scroll down to the Custom Colours section (only visible to Super Admin users)
- You'll see two colour options:
- Link Colour: Controls the colour of links in emails
- Button Colour: Controls the colour of buttons in emails
Setting a Colour
Option 1: Using the Colour Picker
- Click on the colour preview box next to the input field
- A colour picker will open
- Select your desired colour
- The colour code will automatically populate in the text field
Option 2: Manual Entry
- Type or paste a hex colour code directly into the text field
- Format: #RRGGBB or RRGGBB (with or without the # symbol)
- Example: #5a3ff5 or 5a3ff5
- The system will automatically add the # symbol if you omit it
Preview Your Colours
After entering colours, you'll see a preview section showing:
- A sample link in your chosen link colour
- A sample button in your chosen button colour
This helps you see how the colours will appear in emails before saving.
Saving Your Colours
- Once you're happy with your colour choices, click Save Colours
- You'll see a success message confirming the colours have been updated
- All future emails sent from your organisation will use these custom colours
Clearing Colours
To remove a custom colour and return to the default:
- Click the Clear button next to the colour you want to reset
- Click Save Colours to apply the change
Colour Format Requirements
- Must be a valid 6-character hexadecimal colour code
- Format: #RRGGBB or RRGGBB
- Examples:
- #FF5733 (orange-red)
- #3357FF (blue)
- #5a3ff5 (purple)
- FF0000 (red - without #)
Troubleshooting
Invalid hex colour format error?
- Ensure you're using exactly 6 characters (letters A-F and numbers 0-9)
- The format should be #RRGGBB or RRGGBB
- Don't use 3-character hex codes (like #FFF)
Colours not appearing in emails?
- Make sure you've clicked Save Colours after making changes
- Check that you're viewing emails sent after the colours were saved
- Old emails sent before the change will still show the previous colours
- If your organisation has custom email templates set up by RefNow, those will take precedence over custom colours
Can't see the Custom Colours section?
- This feature is only available to Super Admin users
- If you don't see this option, contact your organisation's Super Admin
Tips
- Use colours that match your organisation's brand guidelines
- Ensure sufficient contrast between text and background colours for accessibility
- Test your colours by sending a test email to yourself
- You can always change or clear colours later if needed
Note: Custom colours only apply to emails sent to candidates and referees. They do not affect the appearance of the RefNow platform interface.
